GardenSoft, formerly Acacia Software, founded in 2000, is a
software company servicing the green industry (landscape architects,
contractors, designers, the wholesale and retail nursery industry)
and the water industry (agencies that sell or buy water). Since
its inception, GardenSoft customer base has grown to several thousands
of users including college horticulture and landscape architecture
students, owners of botanical gardens, professional nurserymen
and landscape professionals, and garden hobbyists in many parts
of the United States, parts of Canada, Hong Kong, Australia and
U.K.
Problems faced Anne
Chilcott, Director of Operations, Gardensoft says “We use
QuickBooks for our bookkeeping and ACT! for our contact management.
Both programs have identical entry information”.
Anne handles a lot of roles in the company such as sales, marketing,
order fulfillment, first line technical support… all of
them which involves Data Entry. “Contact data entry and
management is very important to us because our entire business
is built around our leads and customers. And we can’t afford
to miss out on any single contact. Our customers and their contact
information are the most important assets to our company,”
says Anne.
“As GardenSoft grew larger in its customer base, it
became increasingly difficult to manage the contacts. My main
problem was that I was typing all critical contact details such
as names, titles, company names, addresses, phone numbers, email
addresses, website addresses… all of them TWICE! I used
to spend a minimum of 1 hour every day manually entering contacts”
Slowly and gradually, work started piling up for Anne. Her other
tasks were tardy in completion because of the workload. This,
Anne soon realized, was not a good sign by any means. She could
foresee that end result would be either increased cost –
if she chose to hire an extra person for data entry, or reduced
customer satisfaction because of pending work.
That was the time when Mark Chilcott, the Director of Engineering,
who was aware of Anne’s problem, sought the help of his
all time friend – Mr. Google!

And Mr. Google
did not disappoint him. Mark came across AddressGrabber, which
sounded like something that could solve the problem of re-typing
the same information in 2 places. Subsequently, Mark tested it
to see how useful it was going to be for her. “He came out
with the inference, quite rightly, that I won’t be able
to find a better program to help me out for the cost to our company".
Anne is in all praise for the way in which the program is designed.
“I’m not a techie and was not very sure how much time
it would require to learn to use the product. But on the first
try, I realized that AddressGrabber was easy to use and would
save me loads of time. It looked so simple and friendly and the
product demo very clearly stated how to use the product. I took
notes on how to use AddressGrabber but I don’t even have
to refer to them after the second time of using the software;
it is logical and simple to use".
Results
Anne is very confident that in the years to come, she would feel
that one of the best decisions she has taken in her professional
life would be the decision to buy and use AddressGrabber. “I
have already started saving one half of the time it took me to
enter my contact management information. And that is significant
amount of timesaving for me. Now I don’t need to worry about
increasing cost or downfall in customer satisfaction any more.
