You may receive sales leads through email, online forms and third party websites. You need to maintain the leads in a database for efficient follow-up. In addition, you need to immediately respond to the prospects to prevent losing the leads.

eMail-Lead Grabber Excel extracts contact information and other additional details from email leads and transfers the details into appropriate fields in your Microsoft Excel worksheet. After transferring the details, the software automatically sends a pre-defined message to the prospects to avoid missing the leads.

This software enables you to eliminate manual data entry, avoid hassles in processing the leads and to follow up the leads efficiently.
Apart from transferring the information from web forms, you can also:

You can use the Import Toolbar, a component of eMail-Lead Grabber Excel, to import messages from other email clients. Import Toolbar supports the option 'Selected Text' and you can select any text that can be downloaded into eMail-Lead Grabber Excel as email message.

You need to set up eMail-Lead Grabber Excel for the first time after installation. This is a one-time setup and then you need not intervene with the program.

  1. )Set up to download the email messages from your default email client.
  2. Create a template and map the fields based on your fields available in your web form and your destination.
  3. Create a filter and set up to transfer the details to appropriate templates.

Once you have completed the above steps accurately, eMail-Lead Grabber Excel automatically downloads the email messages, checks whether the messages satisfy the filter criteria and transfers the information into your Microsoft Excel worksheet.

A template is used to map the fields available in the form with the fields in your destination application. Once you map the fields exactly, the data is transferred to the corresponding fields accurately.
Your form email contains two types of data.

Form Tag: This is the field available in your web form and the visitor needs to enter the details accordingly. Example: Name.

Form Data: This is the placeholder where the visitor enters the details. Example: William.

Now you need the data William to be saved in your database field. Mark the form tag Name as Anchor Text and the form data William as the corresponding database field. For example, the field name may be FirstName in your database. Mark the data William as FirstName.

The template searches for the form tag and transfers the corresponding form data to the specified database field.

eMail-Lead Grabber Excel contains Template Wizard that guides you through the process of mapping the fields.
Apart from transferring data to relevant fields in your database, you can also create a Mail Merge Template and attach with any template so that a customized auto response is sent to all the received messages.
Consider that you want to send a personalized message to your contacts. The basic content remains the same in all the messages; but each message contains some unique information specific to individual recipient. This unique information may be name, address, or some other personal data.

You can make use of the Mail Merge Template in eMail-Lead Grabber Excel to send personalized message to each and every contact. This template contains the fixed text portion that remains the same in all the messages. You can insert the database fields as variables in appropriate places in the message.

The template merges the fixed message with the data from the database fields so that the output message created is personalized for the specific contact.
After you create the Mail Merge Template, attach the template to the already created Email Extract Template. Whenever a message is processed through the template, the attached Mail Merge Template automatically sends the customized message to the transferred contact.
You may receive email messages from different web forms. The Filter enables you to segregate the messages from different forms. For example, you may receive email from Registration Forms and Feedback Forms. You can set up the filter to save the messages from Registration Forms in a database and Feedback Forms in another database.

Apart from filtering the messages from different forms, you can also:

  • Transfer the filtered messages to selected templates.
  • Send an auto response to the sender of the filtered message.
  • Use Round Robin Forwarding to distribute the messages equally to your team members.
  • Use Round Robin Processing to transfer the messages equally to different database applications.
  • Limit the size of the filtered messages.
  • Set a date filter.
You can distribute the email messages to your team members uniformly by using Round Robin Forwarding. You can forward the first message to the first person, second message to the second person and so on in a repeated cycle. If your team consists of five members, then the sixth message is sent to the first person again. This ensures that all the team members receive equal number of messages to be followed up.
You can process the messages through different templates in a repeated cycle by using Round Robin Processing. In this method, the first message is transferred to first template, second message to second template and so on. You can use this option to transfer the contact details and other information to different database applications used by your team members.

You can combine this option with Round Robin Forwarding. Hence, the first person receives the first message and the corresponding contact details in the message are transferred to the database used by the person simultaneously. This enables the person to maintain the contact details of the received messages and to follow up with the messages efficiently.
You need to create a Stationery with a pre-defined message. You can attach the Stationery to the filter. Whenever a message is passed through the filter, the pre-defined message is sent to the email available in the message automatically.
You can send the same standard message to all by using the Stationery. You can send a customized message to every prospect by using the Mail Merge Template.

The trial version is fully functional but can be used only for a specific period.

After successful installation, you can evaluate the product for three days.

You can also obtain a Free Trial License key and use the trial version for 10 days or 100 transfers, whichever occurs earlier. You can create only one template in the trial version.
If you have provided a valid email ID at the time of product download, you will receive your License Key through an email to your email ID.

After installation, the eGrabber Product Registration window appears. Enter the License Key in the space provided and click Register Now.

Click Continue to start using the product.
Once your trial version expires, you cannot use it again. However, you can contact our customer support and extend the trial version period for another 10 days.
You can purchase our products online. You would receive your License Key via email.

After Installation, the eGrabber Product Registration window appears.

Enter the License Key you have received and click Register Now.

After you get the message "Successfully Registered", click Continue to start using the product.
Check whether you have entered the License Key accurately. You can copy and paste the License Key to avoid typing errors.

Ensure that you are connected to the Internet at the time of registering the product.

The other problems are, your Internet connection may be slow, or the server may be busy. In these circumstances, check the Internet connection and try registering after some time.

If you want to use the product in multiple systems, you need to purchase multiple licenses. Contact our customer support to get multiple licenses. If you want to use the product in another system with the same license key, follow the steps:

  • Unregister the product in System A.
  • Install and register in System B.
  • Note down your License Key number.
  • Unregister the product.
  • Upgrade your system.
  • Install the Product and Register again.
  • If you do not unregister the product, it is not possible to register again.
In such exceptional cases, you can contact our customer support to obtain a new license key. Your former license key is revoked and using this key in future violates the terms of License Agreement.

Note: We recommend you to have a Backup of the software in a CD or in another system to avoid such discrepancies.
